What time is Check-In?

Check-in time begins at 4:00 pm. All efforts are made to have homes ready by check-in time, but we cannot guarantee the exact time of occupancy due to unforeseen circumstances. You will receive arrival instructions via email 7 days prior to your arrival date. Please make sure to add Brad@SteamboatVacationRentals.net to your contact list to help ensure this email does not end up in your junk mail folder. Also, remember to check your junk/spam mail folder if you are not receiving emails from us regarding your reservation. Feel free to contact us if you are still not getting any emails from us, your email address might have been mistyped, or you used an email address that is not longer active. There is always a quick fix to the problem, don’t panic, just give us a call or email us!

How do I access the property once I arrive?

Upon receiving your final payment, we will email you a pre-stay letter (7 days prior to arrival) that tells you everything you need to know about finding the property, accessing it and enjoying your stay in Steamboat Springs.

What time is Check-Out?

Check out time is 10:00am on the day of your departure. Please make sure to have everything packed up and ready to go on the day or your departure so we can have a smooth transition for our next guests.

Is smoking allowed inside the condo / town homes?

All properties are NON Smoking properties and any form of smoking is prohibited inside the properties.

Are linens and towels provided at my Vacation Rental?

Yes all units include bed linens (sheets, blankets, pillows, etc) and bath towels. Additional supplies that are stocked include bath soaps. shampoos and toilet paper.

How well is the kitchen stocked?

Every unit that we manage has a full kitchen with stove, oven, microwave, refrigerator, dishwasher, coffee maker, toaster. The kitchen area has all necessary pots, pans, dinnerware, silverware, basic spices, coffee filters,  etc to prepare meals for your family. We also supply paper towels, dish soap, dishwasher detergent, laundry detergent, kitchen towels and cleaning sponges. Basically everything is supplied for your family vacation except for food in the fridge!!

Is there Internet / Wifi access?

Yes, every unit does have Free Wifi in the condo/town home. The log in information will be in your arrival instructions and also printed on a laminated sign on the fridge of your rental condo.

Will there be a phone at my vacation rental?

If your rental condo / town home has a land line phone, the phone # will be included in your arrival instructions. Since the vast majority of the population has cell phones, most units are slowly removing any land lines due to lack of use. Any major cell phone carrier has great coverage in Steamboat and using your cell phone to make and/or receive calls will not be a problem. For those units that do have a land line, there is no charge for local calls. Long Distance Calls: All homes have a long distance block. Options for placing long distance calls include cell phones, calling cards, pre-paid phone cards and collect calls. Any unauthorized long distance calls charged to the vacation home’s telephone will be billed to the renter.

How to Reserve a Rental Condo/Town home

When you get to the home page you will see a search “tool bar” where you can enter your Check-In and Check-Out dates, size of unit you are looking for (1-4 bedrooms) and then hit the Search button and it will bring back the properties that are available for your dates. You can reserve your desired property online by hitting the yellow “Book Now” button! You will be able to see pictures, property description, maps and amenities for all units on the website.

You are also more than welcome to either call or email us with the number in your party, the property you are interested in, your dates of travel and any other important information.  We will promptly respond with availability, rates and amenities.  Once you decide you would like to make a reservation, we ask for a 20% deposit now and the remaining balance is due 30 days from your date of arrival (charged to the card we have on file).  If you are already inside the 30 day window, we ask for the entire payment.

What is the tax rate applied to my reservation?

City, State and County taxes apply to all rentals. The tax rate applied to your reservation will either be 9.65% of 11.65% depending on the location of the rental unit and if it is within the Local Marketing district. Note: Taxes rates are subject to change without notice at the will of the local municipalities and the state of Colorado.

How much is my initial payment?

20% is due at the time of your reservation.

When is my final payment due?

The unpaid balance of your reservation, plus taxes and all other charges, is due 30 days prior to check-in. This amount and date due will be shown on your reservation statement and will automatically be charged to the credit card we have on file.  For reservations made less than 30 days before arrival, payment is due at the time of booking.

What forms of payment do you accept?

Payment may be made via Visa or Mastercard. We do not accept personal checks, cashier checks, money orders or cash.

Can you please explain the cancellation policy?

A 15% fee (15% of total reservation cost) will be applied to all cancelled reservations. For cancellations received within 60 days of arrival or after arrival date, all payments will be retained. If the subject property can be re-rented, a pro-rata refund will be issued less the 15% cancellation fee. When you reserve a condo or town home we are pulling it off the market and not renting it to other families. If you are unsure about your vacation plans or do not have full commitment from your family and friends, please wait to make your reservation so you are not charged a cancellation fee.

We highly recommend that all Guests purchase travel insurance to protect Guests from anything that is out of the Guests control.

Travel Protection (sometimes also referred to as “Cancellation Insurance”) is an optional but recommended insurance plan that provides a wide array of significant levels of coverage for when things go wrong before and during your vacation.  Protect your trip with confidence!

What’s covered?

Travel Protection is for sudden, unforeseen circumstances that may arise, that could force you to cancel or interrupt your vacation plans.  With this plan you protect the money you have invested in nonrefundable deposits and prepayments that can add up to hundreds or thousands of dollars.  This plan also covers accident and medical costs that in many instances may not be covered by health insurance.*  While rare, this plan also covers losses from hurricanes, acts of terrorism and other events and situations, all outlined in detail in your policy.

Property Protection Plan

Protection and Peace of Mind during your Vacation

Accidental Rental Damage Protection  (sometimes also referred to as “Damage Deposit Waiver”) is a plan that provides coverage for accidental damages to your vacation rental property during your stay, in place of a security deposit.  According to all the recent surveys, the vast majority of renters prefer a small, non-refundable cost over a larger refundable damage deposit.  Accidents happen.  Accidental Rental Damage Protection shields you from having to pay out for damages you accidentally cause to your rental.

How do you obtain coverage?

Automatically.  Property Protection is automatically included when you book your reservation, and saves you from a big check, cash or tying up your credit card with a hefty authorization while you are on vacation.

What’s covered?

The Property Protection plan provides protection up to the amount of coverage per stay and is valid for the entire stay. With this plan, you and your traveling companions will not be obligated to pay for unintentional accidental damages to the rental unit you occupy.  And, the cost and repair of covered unintentional damage will be handled between the rental property manager and the insurance company.

Property Protection Program. Our properties and their contents are valuable and reasonable care should be taken with them
during their rental. Our company, including the participating rental property homeowners we represent (“we”, “our”, “us”), is
an additionally-insured participant in a Property Protection Program that reimburses certain costs for unintentional
accidental damage to our properties during their rental occupancy. With our participation in this Program, except in certain
circumstances, we may not collect and hold refundable pet, damage, or security deposits. We charge renters a
non-refundable administrative fee to defer our costs for Program participation. If, during a renter’s occupancy, the renter or
a member of renter’s party or renter’s guest causes any damage to real or personal property of our rental property as a
result of unintentional accidental acts or omissions, the renter must notify our property management office at that time,
and before check-out. For rentals that exceed the coverage limits of the Program, we may collect a supplementary
refundable (net of any damage reimbursement) security deposit from renter upon check-in. Renter is liable to us for any
damages caused by the renter or a member of renter’s party or renter’s guest that are not reimbursed to us or exceed the
maximum per-incident limit of our coverage, and the credit card on file and/or any collected security deposit will be
charged. If the renter wishes to pay a refundable (net of any damage reimbursement) damage security deposit, renter must
notify us before check-in. Special or large event and/or pet deposits may be charged in certain situations.

What’s not covered?

  • Intentional acts of a guest and traveling companions;
  • Gross negligence or willful conduct;
  • Any loss, if a guest or traveling companions do not take reasonable and prudent measures to protect the residence;
  • Any loss, if the guest does not report the damage to residence rental management staff by the time of vacating the residence;
  • Normal wear and tear;
  • Theft without forced entry;
  • Damage or loss caused by any pet or other animal that was not allowed onto the premises under the Rental Agreement.

Are pets allowed in the rental units?

Unfortunately pets are NOT allowed in any of the rental units we manage. The HOA declarations and Rules and Regulations for each complex do not permit reters to have pets. If a renter is found with a pet in a rental unit, they will have to remove the pet immediately or they will be asked to vacate the property immediately with no refund.

Can exceptions be made if a vacation home lists “No Pets Allowed”?

Unfortunately there are NO exceptions to the pet policy. We respect the wishes of our homeowners, governing HOA’s and incoming guests who may have allergic reactions to pet hair and dander.

Can I keep my pet at a local kennel?

Yes there are several kennels in the Steamboat area that will take excellent care of your pet during your stay in Steamboat Springs. I would suggest Red Rover Resort below:

Steamboat Springs Area

Free City Shuttle

The Free City Shuttle system is the best way to get around town during your stay in Steamboat. The shuttle run on a set schedule and start early in the morning and run way past your bedtime. I was often hear guests state that they want a private shuttle and they do not want to ride the Free City Shuttle. The downside of the private shuttles is that they are on call, so if there are 10 other groups looking for a ride to go to dinner or come home, you have to wait your turn while the shuttle drives around and picking up everyone on the list. The Free City Shuttle runs on a set schedule on a set route all day long. As locals this is our top choice for transportation to either head to the ski mountain or downtown. Shuttle information is posted in the condo you are staying in.

Hospital & Grocery Store

Where is the nearest medical facility?

Yampa Valley Medical Center is an accredited, full-service acute care hospital including emergency care, surgical services and the Family Birth Place with a Special Care Nursery. They also provide comprehensive therapy and rehabilitation services; a skilled nursing facility offering long-term care and short-term rehabilitation stays.

Where is the closest grocery store?

There are two major grocery stores in town, a Safeway and a City Market that are actually located only 1 block apart off of Hwy 40, between Mt Werner road and Pine Grove Road. All of the rental properties we manage are within 1-2 miles of either grocery store. Both grocery stores are also on the Free City Shuttle line, so if you do not have a rental car, you can still get to the grocery via the city shuttle system. You can save a ton of money during your family vacation by preparing meals at home vs going out to eat, so if you are trying to save some money, this is a great option!

They will also come pick you up from your condo, take you back to their shop to get you all set up and then drop you and your rental gear back at your condo. Where is the closest airport?

Flying into Steamboat Springs Colorado is a Breeze!

If you plan on flying out to Colorado for your family vacation to Steamboat Springs, you can either fly into the Steamboat/Hayden (HDN) airport which is only 25 miles from the City of Steamboat and provides year round jet service, or you could also fly into Denver Colorado (DIA). Obviously, the most convenient of those 2 options is flying into the local Hayden airport. You might spend a little more money on your flights versus flying into Denver, but keep in mind you save a ton of your own personal time that can be spent at the Steamboat Ski Resort, shopping/dining in downtown Steamboat, or relaxing in the strawberry hot springs and not dealing with the traffic to get back and forth between Denver Colorado. The Denver airport is obviously serviced by many other airlines and also provides both domestic and international flights (we know how you Aussie’s love visiting Steamboat, so this might be your best option!).

The Hayden/Steamboat airport has also been recently renovated with a new restaurant, bag carousels, curbside bag claim and overall expansion to ensure your arrival and departures are as smooth as ever. Flying into a smaller airport like Hayden is a huge plus when you have young children, bags and ski equipment to tote around as well. The bag claim, car rentals and shuttles are all located on 1 level and within a short walking distance of each other. I would bet it takes longer to enter and exit the bathrooms at O’Hare than it does to land and grab your bags at the Hayden airport! If end you up flying into Denver, the drive is about 160 miles to Steamboat Springs, and you could easily break this up by spending a night in Denver along the way, or even staying a night or two in another one of Colorado’s Ski towns to mix things up!

Ground Transportation from Airports

Car Rental from DIA/Denver or Hayden to Steamboat Springs

If you are flying into Denver and prefer not to take a shared shuttle ride to Steamboat, but then also do not want to necessarily have to pay for a rental car for 1 week, I would suggest doing a 1 way rental from DIA to Steamboat with Budget or Avis. They have a drop off location at the base of the ski mountain and you do not have to travel all the way out to the Hayden airport to drop it off, etc. So you could rent a way vehicle one way for your arrival and also for your departure and then use the city shuttle system to get around town during your stay – this will save you $$.

About Us/Our Story

We didn’t originally intend to live full-time in Steamboat Springs. But as we vacationed here seasonafter season, we fell so in love with the area that we eventually decided to become year-round residents. Today, we own a few vacation rental properties in Steamboat Springs, and we manage several others for out-of-town owners. Whether you’re a couple on a romantic getaway or a large family gathering, we have a property that is perfectly suited to your needs.

The great thing about renting from a locally-run property management company is that you have a Steamboat local to count on (via phone or at your doorstep), someone who will ensure your vacation is as carefree as possible for you and your family.  You also know that you have someone you can trust when you have questions about activities, events and local restaurants.
